General Summary: Reports directly to the Estimation Department Supervisor. Executes the day-to-day operations within the Estimation Department, assisting with administrative duties of the department. Responsibilities include, but not limited to, complete knowledge of Exotic product lines, servicing customer inquiries, order entry, order follow-up and job labor utilization. Essential Job Functions: Assist with all aspects of creating and processing an order, including the inputting of customer information, EDI’s and pricing structure, releasing orders to manufacturing, material expediting, and order follow up. Maintain and input data into ERP master quotation and order log system. Assist with job-related procedures including sourcing, follow-up, returned goods, non-conforming, etc. Become the single point of contact for all quotations and open orders (telephone and email). Communicate quotation and order status updates to customers and sales staff. Resolution of related account discrepancies. Troubleshoot and resolves system issues with orders (labor, materials, pricing, etc.). Generate daily, weekly, and monthly reports for critical decision-making purposes. Accounting interfacing (invoice rejections, non-payment on orders, credit card order processing, etc.). Compiling and maintaining department measurables (KPIs). Develop understanding of all types of work in the department and timely completion of assigned tasks. Understand all policies and procedures within the department and corporation. Supplemental Job Functions: Provide and support a positive work environment. Perform other duties as assigned or requested. Knowledge, Skills and Abilities Required: High School Diploma required; Associate degree preferred. Customer orientated and ability to adapt to different types of personalities. PC skills, Microsoft Office Suite. Demonstrated problem-solving capabilities. Ability to work overtime, when necessary, with appropriate notice. Organizational skills required to prioritize, plan and coordinate work activities and resources in area of responsibility. Interpersonal skills necessary to effectively communicate with associates, customers, business partners and management team. Demonstrated teamwork approach with superiors, peers and subordinates utilizing skills in oral communication, active listening, written and oral directions and cooperating with and assisting others when needed. Working Conditions: Normal business office environment with regular (up to 100% of work time) exposure to noise, dust, office equipment and supplies. Physical dexterity needed to bend, stretch, lift and reach. Ability to sit or stand for extensive periods throughout the day. Ability to perform basic office tasks using standard office equipment.
